"How much does web-to-print software cost" is the question every buyer searches and almost nobody answers honestly. Vendor pricing pages publish a starting number; the real cost lands somewhere between 2x and 10x that, depending on the commercial model.

This post breaks down what each model actually costs at three realistic volume points — 100, 500, and 2,500 orders per month — using publicly available 2026 pricing from the top vendors in each category.

The three pricing models

Every W2P vendor's pricing fits one of three patterns:

- **Flat subscription** — one monthly fee, no per-order tax. Predictable, rare in this category; PrintIntegrator's $19/month is an example.
- **Subscription + per-order fee** — monthly base plus per-product, per-design, or per-order percentage. Most SaaS personalizers and marketplaces.

Where the hidden fees live

Vendor pricing pages publish the headline numbers. The line items that show up in your contract but not in marketing:
